This Privacy Policy outlines how Restrobite ("we," "our," or "the Platform") collects, manages, uses, stores, and protects personal and business information.

Scope & Application: This policy applies to all restaurant owners, enterprise managers, branch operators, cashiers, kitchen staff, and visitors who interact with:

  • The Restrobite cloud web application and restaurant management dashboard.
  • The offline-first Point of Sale (POS) client terminals and KOT printing modules.
  • Kitchen Display Systems (KDS) and table-side ordering interfaces.
  • Marketing websites, sales inquiry forms, and customer support channels.

Information We Collect

We collect only the information necessary to provide efficient, reliable restaurant billing, kitchen dispatch, and store management services:

Account & Business Information

Restaurant legal name, trade name, branch addresses, GSTIN / VAT tax registration details, owner and manager contact details (name, email address, phone number), and subscription billing details.

Usage & Operational Data

Order tickets, dine-in/takeaway bills, table turnover metrics, Kitchen Order Tickets (KOTs), recipe costs, raw ingredient stock levels, inventory purchase logs, payment methods used (Cash, UPI, Card), and cashier shift records.

Device & Technical Data

IP addresses, browser type, operating system version, app release versions, connected hardware peripherals (USB/LAN/Bluetooth thermal printer interfaces, barcode scanners, cash drawers), crash telemetry, and diagnostic logs.

How We Use Information

We process collected data for legitimate operational and business purposes, including:

  • Service Delivery: Generating orders, printing thermal KOTs, synchronizing offline POS transactions to cloud servers, and tracking multi-outlet inventory in real time.
  • Billing & Account Management: Processing subscription plans, calculating plan tiers, and generating legal GST-compliant tax invoices.
  • Customer Support: Troubleshooting hardware printer drivers, diagnosing synchronization delays, and answering technical support inquiries.
  • Product Improvement: Measuring system uptime, optimizing offline database caching mechanisms, and refining POS user workflows.
  • Legal Compliance: Ensuring adherence to applicable tax regulations, auditing requirements, preventing billing fraud, and enforcing our terms of service.

Data Storage & Security

We employ robust multi-layered architectural safeguards to protect your restaurant's proprietary data:

Encrypted Cloud Storage

Hosted in enterprise Tier-4 data centers with 256-bit TLS/SSL encryption for data in transit and AES-256 encryption at rest.

Offline Local Storage

Local POS caching is secured via browser IndexedDB/SQLite with cryptographic integrity validation during cloud synchronization.

Role-Based Access Control

Granular role permissions (Owner, Manager, Cashier, Captain) ensure staff only access authorized data screens.

Zero Third-Party Data Selling

We never sell, monetize, or lease your restaurant’s customer numbers, sales figures, or recipe catalogs to advertising brokers.

Cookies & Tracking

Restrobite uses essential cookies and local storage tokens to ensure secure and seamless operations:

  • Authentication & Security: Session tokens to keep staff securely logged into their POS stations and prevent cross-site forgery.
  • Operational Preferences: Local storage flags to remember printer paper width (58mm vs. 80mm), table grid zoom level, and notification sounds.
  • Marketing Site Analytics: Anonymized, aggregated website visitor metrics on public pages to evaluate page load speeds and landing page effectiveness.

Note: We do not deploy intrusive third-party cross-site advertising cookies within the authenticated restaurant POS dashboard.

Third-Party Services

To provide high-availability cloud infrastructure and secure payment workflows, we integrate with trusted third-party service providers who process data strictly under confidentiality agreements:

  • Payment Processors: PCI-DSS Level 1 certified payment gateways (e.g., Razorpay, Stripe, UPI network switches) to process subscription fees and digital guest payments.
  • Cloud Infrastructure: Enterprise cloud hosting providers (e.g., AWS, Google Cloud) providing isolated databases, daily encrypted backups, and DDoS protection.
  • Diagnostic & Telemetry Tools: Crash reporting and system health monitoring services that receive anonymized technical telemetry to alert engineers of POS outages.

Data Retention

Active Subscriptions: We retain your restaurant catalog, order records, and inventory history for the duration of your active subscription to deliver uninterrupted reporting and multi-year comparative analytics.

Account Cancellation & Deletion: If you cancel your subscription or terminate your account, your data is maintained in read-only / exportable status for a 90-day grace period to allow you to download all historical GST sales reports. Following the grace period, data is securely queued for permanent purging or irreversible anonymization, unless legal or statutory tax retention mandates require continued archival.

User Rights

As a restaurant owner or registered user, you retain full ownership and control of your business data:

Access & Export: You can export full sales reports, item catalogs, tax breakdown sheets, and customer contact lists anytime in standard formats (CSV, Excel).
Correction & Updating: You can rectify inaccuracies in your business details, branch GSTINs, bank accounts, or menu items directly through the settings panel.
Account Deletion: You may request complete account termination and data scrubbing by submitting a formal ticket to privacy@restrobite.in.

Children's Privacy

Restrobite is a B2B commercial software platform intended solely for use by commercial food establishments and authorized personnel of legal working age.

Our platform and marketing websites are not directed toward children under the age of 18 (or the applicable age of majority in your jurisdiction). We do not knowingly solicit or collect personal information from minors. If you become aware that a child has provided us with personal data, please contact us immediately, and we will promptly purge such records.

Changes to This Policy

We may update this Privacy Policy from time to time to accommodate new POS capabilities, architectural improvements, or revisions in data protection laws.

When material changes occur, we will notify registered restaurant administrators through one or more of the following channels:

  • An in-app banner notice on the POS / Manager dashboard.
  • An email dispatched to the registered owner email address.
  • An updated "Last Revised" timestamp at the top of this policy page.
